Privacy Policy

Who we are

This Privacy Policy is issued by OPTSPX (the “Company”, “we”, “us”). It covers two things: this marketing website, which you are reading it on now, and the OPTSPX optical-retail software (the “Product”) that our customers — opticians and optical shops — subscribe to and use to run their business.

Where something in this policy is specific to the website rather than the Product, or the other way round, it says so.

What we collect

On this website, we collect what you submit through the “Book a demo” form: your name, your shop name, your phone number, and, if you choose to provide them, your email address and a message. The website does not use tracking cookies to collect this information. Submitting the form sends these details, once, to our sales team over WhatsApp; we keep no separate database of website visitors or form submissions beyond what arrives in that conversation.

The form is also protected against abuse: the server briefly notes the IP address a submission came from, purely to limit how many submissions the same address can make in a short window. That address is held in memory only, for a matter of minutes, is never written to disk and is never shared with anyone. Like most web servers, ours also writes ordinary operational logs — for example, when a submission fails to send — which can include diagnostic details such as upstream delivery errors; these exist only to diagnose problems, not to track or profile visitors.

Within the Product, an optical shop that subscribes to OPTSPX enters and stores considerably more, because that is what the software is for: account details for the shop’s own staff (name, contact details, role, branch); details of the shop and its branches; and, entered by the shop’s staff in the course of serving their own clients, client records — including prescription data such as sphere, cylinder, axis and add, order history and payment status, and any other details the shop chooses to record.

For that Product data, the shop is the data controller and we act as its data processor: the shop decides what to collect from its own clients and why, and we process it on the shop’s instructions in order to provide the Service.

Why we process it, and on what legal basis

We process the details submitted through the demo form to respond to your enquiry and, if you become a customer, to help set up your account — on the basis that this is a step you take at your own request, in anticipation of a contract with us.

We process Product data on the instructions of the shop that controls it, under our contract with that shop, in order to provide the software it has subscribed to. We do not use a shop’s client or prescription data for our own purposes, such as marketing to that shop’s clients.

How long we keep it

A demo form submission exists only as a WhatsApp message to our sales team; we keep it for as long as reasonably needed to follow up on the enquiry, then delete or archive the conversation.

Product data is kept for as long as the shop’s subscription is active, and for a reasonable period afterward to allow the shop to export it, after which it is deleted in line with our data-retention procedure.

Who we share it with

We do not sell personal data. We share it only where necessary to run the website and the Product, or where the law requires it.

Demo form submissions are shared with WhatsApp (Meta Platforms), as the channel we use to relay enquiries to our sales team, and with no one else.

The processors we use to provide the Product are:

  • Amazon Web Services, Inc. (AWS)
  • Meta Platforms, Inc. (WhatsApp Business Platform)

How we secure it

We apply reasonable technical and organisational measures — including access controls, encryption in transit, and restricting Product data access to the staff a shop has authorised — to protect the data we hold against unauthorised access, loss or misuse.

No system is perfectly secure. If we become aware of a breach that puts your data at risk, we will tell affected customers and, where required, the relevant authority without undue delay.

Your rights

Depending on where you are and which law applies, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain processing, and to withdraw consent where processing relies on it.

If you are a client of one of our customer opticians, the shop that holds your records is the right first point of contact, since it controls that data; we support the shop in responding to your request. For anything relating to the website or your own dealings with us directly, contact us using the details below.

Cookies and similar technology

This website does not currently set any cookies — no analytics, no advertising, no tracking, and none for preferences either: the language you see is carried by the page address itself (the “/en” or “/ar” at its start), not stored on your device. If that changes — for example, if a cookie is introduced for a specific purpose — this policy will be updated to say so before it happens.

International transfers

Where we or a processor we use store or process data outside the country it was collected in, we take steps appropriate to that transfer — such as relying on a recognised legal mechanism or the processor’s own compliance commitments — to keep it protected to a comparable standard.

Changes to this policy
